Privacy policy

How we collect, use and protect the personal information you give us.

This is a reference translation. The authoritative text is the Japanese privacy policy. If the two differ in meaning, the Japanese version prevails.

2. Personal information we collect

We collect personal information in the following situations.

  • When you contact us through the enquiry form: company or organisation name, your name, email address, telephone number and the content of your enquiry.
  • When you contact us by telephone or email: your name, contact details and the content of your enquiry.
  • When we exchange business cards, or you complete a questionnaire or application form, at an exhibition or seminar: company name, department, job title, your name, email address, telephone number and what you have written.
  • Information that becomes necessary in the course of a contract or transaction.

We do not collect anything beyond what you provide voluntarily, without your knowledge.

3. How we use it

We use personal information only within the scope of the following purposes.

  • To respond to and follow up on your enquiry.
  • To consider what you have raised and prepare a proposal.
  • To provide and operate services under a contract.
  • For billing and payment administration.
  • To send information about our services and related material by email — only to those who have asked to receive it. See section 4.
  • For analysis aimed at improving the quality of our services, in statistical form only, with individuals not identified.

If a need arises to use your information beyond these purposes, we will obtain your consent again first.

4. Email we send

We may send information about our services and related material by email. We send it only to people who have asked in advance to receive it. Making an enquiry does not, by itself, subscribe you to anything.

You can ask to receive it in either of these ways:

  • By ticking the optional consent box when you contact us.
  • By indicating so in writing or in person at an exhibition, seminar or similar event.

You can opt out at any time. Use the unsubscribe instructions included in the email, or write to info@seo-international.com. We will stop sending promptly once you tell us. Every email we send states the sender’s name and address and how to stop receiving it.

5. Disclosure to third parties

We do not provide your personal information to third parties, except in the following cases.

  • Where you have consented.
  • Where disclosure is required by law.
  • Where it is necessary to protect someone’s life, body or property and obtaining your consent is difficult.

We may subcontract part of our work to external partners. Where we do, we supervise them appropriately and require them to handle personal information to the same standard we apply ourselves.

6. External services we use

This website uses the following external services.

  • Google Apps Script / Google Sheets (receiving and recording enquiries submitted through the enquiry forms on this website) — what is submitted is transmitted to and stored on servers operated by Google LLC.
  • Google Maps (displaying our location) — displaying the map causes a connection to Google LLC. On the English pages, the map is loaded only after you agree to cookies or press “Show the map”.
  • Google Tag Manager / Google Analytics (understanding how the site is used) — information such as the pages viewed, time spent, referring source, approximate region and the device and browser used is sent to Google LLC. On the English pages, this happens only if you agree to cookies (see section 7).

The handling of information within these services is governed by the privacy policy of Google LLC.

8. Keeping information safe

We take the necessary and appropriate security measures to prevent the leakage, loss or damage of personal information entrusted to us.

How long we keep it: records of enquiries and related correspondence are kept for five years from our last contact with you. Information relating to contracts, billing and payments is kept for the period required under Japanese tax law (up to seven years). After that, or once there is no further need to keep the information, we delete it promptly.

9. Storage outside Japan

We use cloud services provided by Google LLC, a company in the United States, to receive and record enquiries and to understand how this website is used. Personal information may therefore be stored on servers located in the United States and other countries. We take security measures having understood the system for the protection of personal information in the United States.

10. For people in the EU and the UK

If you are in the European Union or the United Kingdom, the EU General Data Protection Regulation (GDPR) or the UK GDPR may apply to how we handle your personal data. In that case, the following applies in addition to the sections above. The controller is SEO International (see section 1).

Why we are allowed to use your data (legal basis)

  • Responding to enquiries and discussing possible work: our legitimate interest in responding to you and developing business relationships, or steps you ask us to take before entering into a contract.
  • Providing services under a contract: performance of that contract.
  • Billing, payment and records we must keep by law: compliance with our legal obligations.
  • Email about our services (section 4): your consent.
  • Google Analytics and Google Maps on the English pages (section 7): your consent.

Where we rely on your consent, you may withdraw it at any time. Withdrawal does not affect anything we did before it.

Transfers outside the EU and the UK. We are based in Japan, which the European Commission and the UK have recognised as providing an adequate level of protection for personal data. Where Google LLC processes data in the United States, the transfer relies on the safeguards Google provides, such as the EU–U.S. Data Privacy Framework and standard contractual clauses.

Your rights. You may ask us for access to your data, and to correct, erase or restrict it; you may object to our use of it, in particular where we rely on legitimate interests; and you may ask to receive it in a portable form. Write to info@seo-international.com. You also have the right to lodge a complaint with the data protection supervisory authority in the country where you live or work.

We do not make decisions about you based solely on automated processing.

11. Access, correction and deletion

You may ask us to disclose, correct, add to, delete or stop using the personal information we hold about you. To do so, write to info@seo-international.com. We will confirm your identity and respond within a reasonable period, in accordance with the law.

12. Changes to this policy

We may revise this policy following changes in the law or in the nature of our business. Where we do, we will publish the revised text and its date on this page.
